What we are looking for:

We are seeking a skilled Administrative Assistant to serve as the first point of contact for visitors and callers, providing front desk coverage while also supporting both project-related and office-wide administrative functions. This position plays a critical role in maintaining a professional office environment by managing reception duties and assisting project teams with documentation, coordination, and cross-departmental support. The position will work closely with the Project Administrator to ensure seamless execution of project deliverables and administrative processes. The ideal candidate is organized, personable, and adaptable, with a strong focus on communication and professionalism in a dynamic work environment.

Position Summary:

  • Serve as the primary front desk representative, greeting and directing visitors, answering, and routing incoming calls, and ensuring a welcoming and professional office environment.
  • Deliver high-level administrative support to project teams, department leadership, and office staff to facilitate efficient workflow and task execution.
  • Support the coordination and management of both internal and external communications, with a focus on accuracy in project documentation and reporting.
  • Maintain, organize, and update project files, records, and databases in alignment with established company procedures and quality standards.
  • Assist in the planning, coordination, and execution of meetings, presentations, and corporate events, including both virtual and in-person formats.
  • Contribute to the overall efficiency of office operations, including oversight of supply inventory, vendor coordination, and facility maintenance support.
  • Provide assistance with marketing and client engagement initiatives as needed, contributing to the company’s outreach and promotional efforts.
  • Consistently maintain the highest level of confidentiality, discretion, and professionalism in all business matters.
  • Demonstrate and uphold the organization’s core competencies, including effective communication, collaboration, customer service excellence, and sound decision-making.

The following skills are necessary:

  • High School Diploma or equivalent.
  • Two years of office/administrative work experience preferred.
  • Thorough and detail focused.
  • Professional verbal and written communication skills.
  • Demonstrated proficiency in Microsoft Office 365 applications.

Primary Location: Columbus, Ohio

Reporting Structure: This position reports directly to the Executive Assistant | Office Manager.
